3. Our legal basis for using your information
Under UK data protection law, we need a lawful reason to use your personal information.
Depending on the circumstances, we rely on:
- Contract – where we need the information to provide PingHoot to you.

Emails and SMS messages relating directly to your PingHoot account or monitors are part of the service.
These can include monitoring alerts, password resets, security messages, billing information and important information about your account.
You can control your monitoring notification preferences from within your account.
5. Marketing
You can choose whether you would like to receive marketing emails from PingHoot.
Marketing is optional and is separate from communications necessary to provide the service.
You can change your marketing preferences within your account or unsubscribe using the link included in our marketing emails.
6. Payments
If you subscribe to a paid PingHoot plan, payments are handled securely by a third-party payment provider.
We do not directly store your full payment card details.
We may retain information about your subscription and transactions where needed to manage your account, maintain financial records and comply with our legal obligations.
7. Who we share information with
We do not sell your personal information.
We use trusted third-party service providers to help us operate PingHoot. These may include:
- hosting and infrastructure providers;
- payment processors;
- email and SMS delivery providers;
- analytics providers;
- advertising and marketing platforms;
- security and technical service providers; and
- professional advisers where necessary.
We only share personal information where reasonably necessary for these providers to perform their services or where we are required to do so by law.
We may also disclose information where necessary to prevent fraud or abuse, protect the security of PingHoot or protect our legal rights.
Please note: we do not share mobile opt-in details and consent with third parties or affiliates for marketing purposes.
8. Analytics and advertising
We record signup source information with your account to understand which sources lead to registrations and paid subscriptions. This may include campaign labels supplied with your signup request, the referring website's domain, and an optional answer about how you heard about us. We do not retain full referrer URLs, search-engine queries or individual advertising click identifiers for this purpose.
If you allow Marketing cookies, we can remember the first source and public entry-page path seen after consent in your current browser tab for up to 24 hours and submit it with your signup. We clear this temporary attribution when Marketing consent is withdrawn. Without that consent, we do not use browser storage to follow your journey between pages. Missing source information remains unknown.
We use analytics to understand how people find and use PingHoot and to help us improve the service.
We may also use advertising technologies to measure the effectiveness of our advertising and understand whether advertising results in visits, sign-ups or purchases.
These technologies may collect information such as your device, browser, pages visited, interactions and approximate location.
Where consent is required, optional analytics and advertising technologies will only be used after you have given permission.
More information is available in our Cookie Policy.
9. International transfers
Some of our service providers may process personal information outside the United Kingdom.
Where personal information is transferred internationally, we take appropriate steps to ensure it is protected in accordance with UK data protection law.
This may include using countries recognised as providing adequate protection or appropriate contractual safeguards.
10. How long we keep your information
We keep personal information only for as long as reasonably necessary.
Account information will normally be kept while your account is active.
If you close your account, information we no longer need will be deleted or anonymised within a reasonable period. We may retain some information where necessary for legal, accounting, fraud prevention, security or other legitimate business purposes.
Technical and server logs are kept only for as long as reasonably necessary for security, troubleshooting and operation of the service.

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, misuse or disclosure.
No online service can guarantee complete security, but we take appropriate steps to protect the information entrusted to us.
